There are two tools that are commonly used for processing the data that you collect: , which store data in different sheets, with each individual data point being stored in a separate cell; and , which store data about different objects in tables.
There is specialist terminology surrounding databases. A single piece of entered data is called a . An example would be the surname of a person. A is an object whose data is being recorded (such as all data recorded about a single member of an organisation). A is collection of particular data about particular objects; for example, the names of different products, the cost of those products and the number of those products sold.
It’s all very well to have a large database, but we need to be able to look at the data. A request for specific data might be for the names and images of all products that cost less than £10. This request is a called a .
Both of these tools can be used to present data as well as to process it, but there are also other software tools that can be used for data presentation. When the data is mostly text-based (with a few graphics), a would be used. But if there were far more images, a desktop publisher (DTP) would be used – for example, to create . Where slideshows to help in delivering a conference, tutorial or business meeting are required, software would be used.
The presentation methods that should be used will depend on: the requirements, which determine which physical devices are needed; the requirements, which determine the applications that are needed; and the requirements, which determine how the resource can be accessed and which distribution channels can be used. For example, in a boardroom, lecture theatre or classroom a person presenting information might use a to display the digital presentation content. If the presenter brought their own equipment, they might not be able to connect to the Internet to access their presentation file online / in the cloud, so they would have to bring the file on .
